Paid Time Off (PTO)
EAB believes it is important for employees to maintain a healthy balance between professional and personal lives, and recognize that time off is an important component of that balance. The Company offers a paid leave policy, called Paid Time Off (“PTO”), which combines Vacation, Personal, and Sick Leave, or separate vacation and sick leave if required by state law.
PTO (Initial Grant & Accrued)
PTO accruals follow a January 1–December 31 cycle.
Initial Grant
- 7 days given on January 1 or on the first day of employment if newly hired and starting before April 1.
- 6.5 days given on the first day of employment if newly hired and starting on or after April 1 but before
December 31.
Accrued PTO
Three months after the initial grant, you will earn additional, or “Accrued PTO” per the chart below.

Example accrual: Today’s date is May 30 and John (a Marketing Associate) wants to calculate how many days he has accrued. He started with the firm on February 1.
John was awarded 7 days on February 1. Beginning May 15, he started accruing additional PTO at the rate of 0.722 days per pay period. Therefore, John has been given a total of 8.44 PTO days.
7 days + (0.722 x 2 pay periods) = 8.44 days
Tracking your Time
Employees are expected to accurately track time off in Dayforce.
Please use this guide on tracking, correcting, and viewing your time off.
- Part-Time Employees – Part time employees working 20 hours per week or more will earn a prorated initial grant and accrued PTO rate.
- Calendar Year – The PTO plan year operates on a calendar year basis (January 1 – December 31).
- Usage – PTO can be taken in increments of 0.5 (one-half) day or 1 full day increments.
- Unused PTO – Unused PTO Days may carry over up to 5 days at the end of the fiscal year.
- Negative PTO – Employees who have exceeded their annual allotment of PTO days will incur a negative balance that carries over to the following year. Employees cannot have a balance of more than 10 negative PTO days.
- PTO Donation – Unused days may be donated via our Paid Time Off Donation Program.
PTO Guidelines
PTO is taken at the discretion of your manager.
Advancement
Managers may use his/her discretion to advance additional PTO days up to the total remaining available PTO days for the calendar year.
- If you have a negative PTO balance when you leave the firm before you accrue adequate PTO days to cover any days advanced, your final paycheck will be reduced to reflect the remaining balance of advanced PTO days.
- Managers must receive the approval of Talent department before advancing PTO days from beyond the employee’s current accrual year.
PTO Requests
Staff should request time off in writing as far in advance as possible, with a minimum of 3 weeks for planned absences.
- In the event an unexpected absence is necessary for illness or emergency, staff should contact their manager at least half an hour before the start of the workday.

Sick Day Requests Greater than 10 Days
If you need to request an excused absence greater than 10 consecutive days that is not for a vacation, please contact benefits@eab.com to apply for a leave of absence.
Additional Time Off Related Benefits
- Community Impact Hours – You may participate in volunteer activities during working hours with the approval of your manager. More information on the Community Impact Volunteer Activity policy can be found in the Volunteer and Wellness Activities section of the Handbook.
- EAB team members may use up to 10 hours per month to engage in volunteer activities during the regular workday in any service opportunity they feel passionate about.
- Tracking Hours – To log monthly volunteer hours, sign up for a MobileServe account and log your hours there.
- For questions on what qualifies as community impact hours, please reach out to the community impact team at communityimpact@eab.com.
- Community Impact PTO Time – EAB awards additional PTO days to recognize team members who exceed annual volunteer hour thresholds (details below). Days are visible in Dayforce on July 1 for volunteer activity completed in the previous 12 months.
- 50-74 hours: 1 day awarded
- 75-99 hours: 2 days awarded
- 100+ hours: 3 days awarded
Paid Time Off Donation Program
Through the Paid Time Off Donation program, employees are able to easily and conveniently donate earned, unused PTO, vacation or sick time via Dayforce to a central “bank” of days which will be used to support colleagues in a hardship.
- EAB employees who face a personal or family hardship or medical emergency and have exhausted their available paid leave will be able to apply for extra paid days off from this bank.
- This is an ideal way you can help colleagues who may be facing significant lost income if they must otherwise take leave without pay due to an extended health-related situation for themselves or a family member.
How to Donate
Staff are invited to voluntarily donate PTO days or vacation/sick days to the Paid Time Off Donation Program at any time during the year. Employees who wish to donate paid time off are able to do so via Dayforce. Donated paid time off will be held in a reserve bank for the current fiscal year, and is intended to supplement existing time off benefits for employees who meet the criteria to receive a donation during a personal hardship.
- Go to Dayforce.
- Enter the number of days you would like to donate (1-5) starting with today’s date
- Select Request Time Off
- Next to Type, select Donation (Paid Time Off)
- Next to Daily Quantity, enter the number of days (in increments of 0.5) you wish to donate.
- Submit
Eligible Recipients
Employees who are experiencing a personal or family hardship or medical emergency (as defined below) and who have exhausted their available paid benefits may be eligible to receive additional paid time off pursuant to the Paid Time Off Donation Program if they meet all of the following criteria:
- The employee has been approved for a leave of absence relating to a medical emergency (as defined below) or has an extenuating circumstance that has been reviewed and discussed by Talent and the Benefits team.
- The employee has been approved for a leave of absence relating to a medical emergency (as defined below).
- The employee has provided appropriate medical certification as requested by the Benefits Department.
- The employee has exhausted all other forms of paid time off, including use of his/her own PTO, vacation, and sick leave (however donated paid time off may be used to supplement short-term and/or long-term disability benefits). Although an employee is not eligible for donated leave until all other forms of paid leave have been exhausted, an employee may request a donation in anticipation of exhausting all other paid time off.
- An employee need not have donated time into the bank in order to be eligible to receive donated paid time off.
How to Apply
In order to receive donated paid time off, an employee who is affected by a personal or family hardship or medical emergency must complete the donation request form, and submit to Benefits@eab.com. If the employee is not capable of completing the request form, a personal representative may make the application on behalf of the employee. Each application should include:
- The reasons the absence is needed, including a description of the nature, severity, and anticipated duration of the medical emergency, and if it is a recurring one, the approximate frequency of the medical emergency affecting the employee or employee’s family member. Completed applications should be submitted to benefits@eab.com.
The employee will be required to provide medical certification from their health care provider.

California Vacation and Sick Policy
Vacation Days
- Accrual –Vacation days accrue on the 1st and 15th of each month.
- Vacation Use –Employees may use days as they are earned, and once they are earned they do not expire.
- Accrual Cap –Vacation Days accrual will be capped.
- You can accumulated accrued vacation days up to the cap, and then will stop accruing additional vacation days are used.
- Termination –Unused Vacation Days are paid out at termination in accordance with California law.

Sick days

- Unused Sick Days – Unused sick days do not carry over from year to year.
- San Francisco Employees – have a separate sick hour policy. See the next tab for more details
- Termination – Unused sick leave is not paid out upon termination.
San Francisco Sick Hours
- 1 hour of sick time for every 30 hours worked.
- Paid sick leave accrues only in hour-unit increments;
- Once earned they never expire but will have an Accrual Cap at 72 hours
Illinois Vacation and Sick Policy
Vacation Days
- Accrual – Vacation days accrue on the 1st and 15th of each month per the chart below.
- Up to 5 earned but unused Vacation Days may carry over at the end of the calendar year.
- The balance of your earned but unused vacation days is paid out upon termination.
- Part-Time Employees – Accrued vacation day rate is prorated for part time employees working 20 hours or more per week.

Managing Director and Above (MD+) Time Off Policy
MD+ Unlimited Vacation
- Vacation Grant – Vacation is not earned or accrued at any time, and no payments for vacation will be made at the time employment ends.
- Requesting Vacation – Requests for vacation should be made at least 3 weeks in advance and manager approval is required before vacation plans are committed. Managers may approve or deny vacation requests at their discretion based on job performance or business needs.
- Reporting – Employees are expected to report any short notice absences to their manager.
- Performance Requirement – Employees must continue to perform at the level necessary to meet company needs and deadlines, including providing coverage for other employees who are absent.
- Unlimited – There is no guideline or limit on the number of vacation days for routine time off for vacation or personal time
Usage Restriction – Unlimited vacation may not be used for the following types of absences beyond the first 10 days:
- Leave during which the employee is receiving Short Term Disability or Long Term Disability Benefits
- State disability or worker’s compensation
- Family and Medical Leave (under federal or state laws)
- Maternity and paternity leave
- Military leave
- Jury duty
- Sabbatical leave
Use of Paid Vacation – Employees will be permitted to use up to a maximum of 10 days of paid vacation for an approved leave of absence in addition to any available sick days.
MD+ Sick Time Off
- Initial Grant – 10 sick days are granted at the beginning of each calendar year.
- Calendar Year – Sick days will operate on a calendar year schedule and will refresh every year on January 1.
- Unused Days – Sick days do not carry over, and there is no payout of unused sick days upon departure from the Company, unless otherwise required by applicable state or local law.
- Tracking Time – The use of sick days must be tracked in our Dayforce tracking system.
- Sick Time Off Use – Paid sick days may be used for absences due to the following:
- your own or a family member’s illness, injury or medical condition, for routine and preventative care for you or your family members, for you or a family member to seek protection in the event of domestic violence, sexual abuse, or stalking, or for any other purpose required by applicable state or local law.
- Usage – Sick days may be taken in increments of 0.5 (one-half) day or 1 full day.
